How to Cancel or Reschedule a Doctor Appointment Without Calling
The quickest no-call ways to cancel or move a doctor, dentist, or salon appointment, plus wording you can paste.
To cancel a doctor appointment without calling, go back to where you booked it: the patient portal, the booking app, or the confirmation email or text. Most have a Cancel link.
Fastest way:
- Open MyChart (or your portal) and tap Visits.
- Open the visit and tap Cancel or Reschedule.
- Button gone? Use the reminder text’s cancel link or reply option.
Pick your route:
- Use your patient portal if you booked with a clinic or hospital
- Use the reminder text or email if you got one
- Use the booking app like Zocdoc or a salon app
- Send an email if you booked by phone
- Have someone ask for you when nothing else works
1. Cancel a doctor appointment without calling in MyChart
If you booked through a hospital or clinic system, the portal is usually fastest.
- Log in to MyChart (app or website).
- Go to Visits or Appointments.
- Open the appointment.
- Tap Cancel or Reschedule, then confirm. If you reschedule, the location and clinician usually stay the same.
Two common snags:
- The 24-hour window. Cleveland Clinic lets you cancel most visits in MyChart up to 24 hours before. Inside that window, the button goes away. Other systems use similar rules.
- No reschedule link. Some visit types can only be changed by the office. The portal isn’t broken.
Buttons gone? Use the portal’s message feature. Replies may take a business day, so it’s not ideal for same-day changes.
2. Use the reminder text or email
Many offices send reminders a day or two ahead.
Check the reminder text or email. If it says how to reply to cancel, do that. If not, use its link.
This is often the best last-minute route, since it may be the only written option left inside a portal’s cutoff. Inside the fee window? Cancel anyway. It’s better than a no-show.
3. Cancel in the booking app
If you booked through an app, cancel there too.
Zocdoc is free to cancel or reschedule. Here’s how:
- Open the booking email, the website or the app.
- Open the appointment.
- Tap Modify Visit (or Cancel or Reschedule in the app).
You can’t make changes during the appointment time itself, so do it before.

4. Send an email
Booked by phone, with no portal or app? Email works. Find the address on the office’s website, Google listing or intake paperwork (new-patient forms).
Put the date and time in the subject line.
Cancel with notice:
Subject: Cancel appointment on [date] at [time]
Hi, this is [your name].
I need to cancel my appointment on [date] at [time] with [provider].
Thank you, and sorry for any inconvenience.
Reschedule:
Subject: Reschedule appointment on [date] at [time]
Hi, this is [your name].
I need to move my appointment on [date] at [time].
I'm available [two or three time windows].
Please let me know what works.
Thank you.
Last minute:
Subject: Cancelling today's [time] appointment
Hi, this is [your name], booked for [time] today with [provider].
I'm sorry for the short notice, but I can't make it.
Please cancel my appointment.
I'd like to rebook for [timeframe].
You don’t need to explain why.
5. When there’s no online option
Some small offices and shops have no portal, no app and no reminder link. Email them with a template from step 4, or have Reqly ask for you. It asks the place and texts you back their answer. Here’s what that looks like:

Is it rude to cancel an appointment by text or email?
No. Most offices are glad to get a cancellation in writing, especially with notice, because they can offer the slot to someone else.
Why won't MyChart let me cancel my appointment?
Many health systems block online cancellation inside a set window, often 24 hours, and some visit types can't be changed in the portal at all. Then the office wants to hear from you directly.
Will I be charged for cancelling late?
It depends on the office, and fees vary. Check your booking confirmation, the practice's website or the forms you signed.
Can I reschedule instead of cancelling to avoid a fee?
Sometimes. Some offices treat a reschedule inside their notice window the same as a cancellation, so ask as early as you can.
